Job Description
Scope : A fast expanding Singapore based MNC with global presence in 13 countries in Asia, Europe & America is looking for Secretary to the Managing Director. He/she will be India based and supports senior management spread in multi-countries. As a key and challenging role, it comes with responsibilities and ample opportunities. Candidates adept with MNC working, cherish responsibilities, ever willing to take initiatives & travel-friendly only need to apply. Location: Mumbai / Gurgaon Role : 1. Providing support to MD in all managerial functions 2. Data management and record keeping for MD office. 3. Calendar management. 4. Manage and maintain executive schedules, including travel and conferences, making appointments, and follow up 5. Assist and ensure implementation of policies in all location 6. Making arrangements for meetings, record meeting discussions and provide minutes. 7. Follow ups with all the locations. 8. Ensure effective MIS Reporting across countries. 9. Delegate tasks and responsibilities to other staff members when appropriate. 10. Communications on behalf of MD and Board. 11. Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner. Requisites : 1. Bachelors Degree. (Secretarial & Office Assistants courses advantageous.) 2. Good work & typing speeds. 3. Excellent memory & recall skills. 4. Presentable personality & people friendly nature. 5. Proven skills in multi-tasking 6. Excellent pro-active communications in English. Language skills in any foreign language(s) advantageous. 7. Experience with corporate secretarial matters 8. Skills in preparing managerial presentations. 9. Responsible decision making ability. 10. Must hold a valid Passport. 11. Able & willing to travel & stay abroad at short notices. 12. Comfortable with beyond 9-5 schedules as multi-time zones demand. 13. Proficient in Access, MS Word, Excel (V look up & other functions), PowerPoint presentations, Outlook, office software and flair for IT & Communications. 14.
