POSITION GOALS: To provide comprehensive management of services covering all facility services to the client, with a focus on continuous improvement.   To achieve financial and other targets established by both the Senior Facilities Manager and Assistant Facilities Manager.  Achievement of the Key Performance Indicators and Service Level Agreement targets. Sets stretch targets for team to achieve maximum team performance  Is able to make difficult decisions and resolve problems or improve operations. Actively searches out opportunities to achieve best results  Promotes open, constructive and collaborative relations with superiors, subordinates, peers and clients. Gains respect of Jones Lang LaSalle people, clients, and where appropriate, with the broader business community.  DUTIES AND RESPONSIBILITIES: Property Operations Ownership of the day-to-day administration, including reports generation of the stocks tracker. Provide assistance to the FM and AFM in managing all administrative functions, security issues and facility services and any other administrative functions as deemed by BA Continuum Solution Developing and implementing procedures and performance measures to ensure simplification and accuracy of work methods and reliability of FM Ensuring an adequate supply of consumables/materials and service for the proper operation of services and enter into supply and service contracts as approved by the client Maintain appropriate stock levels of all consumables to ensure smooth operations & escalate in time to achieve availability of stocks. Maintain appropriate levels of Petty cash to support FM operations. Vendor invoices processing aligned with BA Continuum Solutions finance process. Statutory compliance check of all vendor invoices. Routinely Inspect all services to ensure performance measures are being maintained Effectively manage ECRES to ensure an on time deliverable system  Set stretch targets for self to achieve maximum team performance  Reporting  Contribute to the Weekly FM Meeting Minutes Contribute to the Monthly Management Report to client and other reports as required  Others Participate in Emergency Evacuation procedures including crisis management and business continuity. Manage all Health and Safety issues and actively participate in Health and Safety reviews.

Managing UBS client area in accordance to UBS standards and requirements. Responsible for ensuring uninterrupted flow of incoming and outgoing calls including distribution. Making sure to demonstrate responsive, professional and polite responses in telephone communication. Receive, inform, guide visitors to the right meeting room and notifying the receiving employee within 5 minutes of the visitor arrival. Responsible for maintenance and upkeep of front office, Housekeeping in coordination with the Facility Executive Issuing Visa Letters Responsible for conference / meeting room booking, VC bridge booking & rental car bookings. Understand the meeting requirements from the organizers and offer best practice recommendations and alternatives. Coordinate with pantry staff to ensure the food and beverages are served in accordance with meeting requests. Coordinate with technical staff to ensure the VC is setup, tested and in case of problems, liaise with the right UBS regional/global parties to resolve issues and offer alternatives to clients. Floral decoration and horticulture at reception are always fresh, clean and presentable. Provide assistance in general administrative activities Coordination with the security/ access control team at Reception for visitor registration, issuing of visitor pass & such activities. Coordinate between security & billing executive for verification of returnable/ non-returnable material gate passes issued & materials returned/ received.
