Role and Responsibilities

Executive Assistant to Property MD and Property SLT
Responsibility for the provision of an efficient and responsive administrative, organisational and logistical support service ensuring that the organisation's policies and corporate processes and systems are consistently applied and adhered to
Provide suitable assistance to support the Managing Director’s (MD) work habits and preferences
Effectively delegate tasks to senior team on behalf of MD
Ensure diary commitments, papers and travel arrangements are managed effectively; troubleshooting problems as and when they occur
Filter incoming email and general correspondence and responding or redirecting on behalf of the MD as necessary
Screen phone calls, enquiries and requests, and handling them when suitable or directing to appropriate teams
Be the first point of contact with people from both inside and outside the organisation; regularly liaise with clients and other colleagues at all levels
Organise and attend meetings, ensuring the MD is well prepared, record and distribute minutes
Complete research on behalf of the MD
Coordinate and arrange domestic and international travel, accommodation and supporting visas
Keep an accurate record of papers and electronic correspondence on behalf of the MD and maintain an efficient retrieval system / process
Successfully working with senior management and collaborating with colleagues from across the Group
Create and oversee the production of MD’s documents, letters, briefing papers, reports and presentations; demonstrating excellent literacy proficiency
Efficient maintenance of the MD’s reporting timetable and diary and arranging appointments and related requirements
Conduct regular meetings with the MD to review and discuss upcoming events and other requests
Organise and coordinate relevant business and social client meetings, functions and events
Support Win Work initiative and ensure Property SLT related actions are communicated and closed out
Co-ordinate Red GAM AA Stage Gate reviews with Group attendees and ensure timely issuing of review packs. This includes the scheduling and co-ordination of GAM approvals to ensure bids and proposals are issued on time
Responsible for co-ordination and issuing of internal communications to the Division from Property MD and SLT. Developing a meaningful and consistent approach to communication across the division to ensure staff are informed on business strategy, organisational structure, opportunities and project wins.
Technical Qualifications

Minimum 5 years MD / C-Suite level EA experience
Trustworthy and most ensure absolute confidentiality

Substantive experience having progressed through demonstrating established knowledge and understanding of business administration, and excellent organisation and communication skills

Project Controls Engineer

Role:

We are currently looking for a Senior Project Controls Engineer to form part of our Project Management Consultant (PMC) project team, based on a large defence and telecoms project in Riyadh. The main objective of the PMC is to implement and manage the overall Development Programme, which includes telecom & infrastructure enhancement works. The project is expected to last for 18 months.

Responsibilities:
The senior project controls Engineer’s; responsibilities include but are not limited to:
Interface with the project management team and all key stakeholders.
Manage the weekly and monthly progress report protocols / templates for progress reporting and monitoring progress against it.
Manage the preparation of weekly and monthly progress reports/presentations for the client.
Assisting in establishing / delivering formal reporting arrangements on project progress for the client and project.
Prepare project advice for any site progress / planning concern that may impact site progress.
Prepare and manage the daily escalation report for project managers.
Overseeing the preparation of risk assessments and mitigation plans.
Ensure and manage effective information and document transfer at all levels
Establishing the document coding structure for all documents.
Manage and develop the document control system and communication flow for the project.
Ensure procurement, material and submittal logs are created and maintained.
Manage and identify long lead items.
Manage the consultant selection process for commercial and technical evaluation.
Cost reporting (with data provided by others).
Reviewing contract documents, suggesting changes for planning and programming aspects and the addition of new clauses if necessary.
Manage the design, procurement and construction progress for compliance with contract requirements.
Arrange and manage planning workshops/meetings to discuss and assist contractors / consultants to close their planning / project control issues.

Manage the preparation of the master programme for the project.
Manage and review construction programmes received from contractors and analyse them in line with the contractual requirements.
Preparing design programs for projects under design and guideline programs for projects to be started / under-progress.
Making recommendations for possible acceleration.
Challenge any claims and EOT requests.
Establish and manage the permit approval system.
Review and assess any claims for variations or change orders from the main contractor or client and inform the commercial team of the potential cost impact.
Ensure document control processes and procedures are sufficient to enable proper and recordable transfer of documents between the Project Management Team, the client, contractors, consultants, and other parties.
Preparation and distribution of regular weekly and monthly reports,
Prepare escalation reports for the project management team;
Prepare weekly progress presentations for the employer.
Prepare risk assessment and mitigation plans
Review contracted scopes and project deliverables
Identify any gaps and provide recommendations to close any scope gaps.
Requirement:
Must have a Bachelor’s Degree in a Construction related discipline;
Possess 6 years of total experience and at least 3 years’ experience in the Middle East, preferably Saudi Arabia;
Manage logic networks based on critical path in Microsoft Project
Experience in PCM of major projects;
Identify bottleneck areas and alerting management 
Strong understanding of Earned Value Management / Reporting
Coordinate and interface with other stakeholders daily
Preferably with experience of Military/Defence, Telecom and/or working in a Project Management office;
Demonstrate strong interpersonal and presentation skills;
Possess good project background and proven English language technical writing ability and skills.

Senior MEP Engineer responsible for Electro-mechanical building services engineering design, from concept design through to construction issue and site supervision. Ability to communicate well in English both verbally and written. Client facing experience is vital. Previous site is preferable.

Candidate shall have ability to manage a team, and assist HOD in day to day running of the department, for resources, project progress, QA/QC.

Responsibilities
• Mechanical/Electrical services engineering design, from concept design through to construction issue and site supervision
• Ability to handle challenging environment of project programmes and deliverables
• Experience with managing a team of engineers and CAD/Revit to deliver projects
• Carrying out design calculations on a variety of buildings i.e. residential, commercial, educational, leisure facilities, industrial etc
• Design according to local utilities rules, regulations and design guides
• Design to British, American and International design standards
• Preparing technical specifications
• Preparing drawings for drafting by in-house CAD/Revit team
• Instruct Engineers and CAD/Revit operators in all project related matters and responsible for the checking of all CAD works done
• Coordinate with Architects, Structural Engineers and Mechanical Engineers and any other external design consultants
• To understand and implement Atkins ME Quality Assurance procedures
• Site surveys and inspections
• Any other duties as may be required from time to time
